Mentor provides all tools to assist running a successful service department from service booking and reminders to service plans. With a myriad of service based reports.

Service Booking

Mentor can book in and record service work or receive job cards and details from your DMS. We work closely with you and your DMS provider so you can receive daily service records updates into Mentor. With service data within Mentor you can explore some of our additional services such as our tracking log and automated service reminder system.

Service Reminders

Let Mentor remove the hassle of sending our service and MOT reminders to your customers. Mentor will calculate the next intermediary and major services and MOTs from your customer vehicle registration details or service history based on time or mileage. With customisable Letters, Emails or SMS text messages you can send your reminders in any format to get the best response from your customers. If no response is made by the customer then you have the option to resend a 2nd reminder and/or add them to a list for a follow up phone call. Mentor also supports the use of UK Mail, with a single fee of 50 pence, less than the cost of a first class stamp, you get your letters printed and delivered. Saving you money on toner, paper, envelopes and stamps.

Service Tracking Log

Knowing the exact status of a vehicle from receiving the car to handing it back over to the customer can sometimes be tricky. The service tracking log is in real time and allows all service staff to view the vehicle status and who is working on it at any time.

Vehicle Health Checks

Mentor has the facility for electronic vehicle health checks allowing a technician to asses a vehicle logging the details and photos electronically. It can then be sent to the parts department to assess the cost of the work before being viewed by the service department giving them the facility to upsell the work back to the customer. 

The VHC system is compatible to run on tablet devices making it easier for technicians to complete and can be monitored in real time by the service manager with detailed reporting on the amount of work converted and its upsell.

Service Plans

Mentor gives you the facility to create a tailored service plan for a customer that allows them to spread the cost of their car servicing with monthly payments. This can help with customer loyalty making sure they always return to you for their car maintenance. A range of default different schemes for new and used vehicles can be setup including additional optional extras such as Valeting Tyre Changes & MOTs.

With Direct Debit checking on the customer’s account inbuilt and an administration facility to manage and payments and direct debits, Mentor makes the whole process from selling the plan to administrating the payment easy. 

Within the administration section you can monitor:

  • Current payment postings
  • The number of plans at all branches & the total monthly income from the plans
  • The plans awaiting approval and setting up
  • Expired and cancelled plans
  • Plans that have been put on hold
  • Failed payments and errors
